Premier International is looking for a part time Office Secretary to run our office and Showroom smoothly and efficiently.
This person must be very organized and efficient in customer service, Answering phone calls, direct calls, and take messages. Knowledge of Quick Books is a plus.
The person must communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
This will be a part time/ on call position to begin with. Must be willing to work three days a week-Monday, Wednesday and Thursday. Must also be flexible to work whenever there is a need, including Saturdays.
Answer the phone, take messages or refer calls to an appropriate staff member.
Maintain Calendar and Plan Meetings
Schedule appointments and update event calendars for estimations, installations, and the GM's meetings. They also arrange staff meetings, prepare minutes, draft letters etc.
Handle Emails and communications
Incoming and outgoing mail and faxes all go through the Office Secretary. They open, review, sort and distribute the mail to the appropriate recipients. Office Secretaries also maintain email lists, and distribute information to staff.
Prepare and Edit Documents
The person must review outgoing correspondence for grammar, correctness, and completeness, and ensures that appropriate material is attached. He/ she will prepare memos or other reports for internal or external distribution. The person must be capable of preparing documents for license renewals, vehicle renewals, securing price quotes from vendors etc.
Maintain Databases and Filing Systems
Design, implement and maintain filing systems, both electronic and paper. When requested, search for and compile requested material from the databases.
The Office Secretary tracks office supplies and orders replacements as required. They may be responsible for an office budget for supplies and other expenditures.
Office Secretary Skills
Well-organized and detail-oriented must be able to multi-task and take instruction from many sources. Key traits are strong interpersonal skills and a positive attitude. In addition to these general skills and personality traits, we are seeking Office Secretary candidates with the following skills.
Knowledge of general office procedures
Knowledge of word processing and spreadsheet software, including Word and Excel, and the ability to learn Quick Books
Ability to operate office equipment (fax, copier, mail, etc.)
Customer service experience
Ability to type at least 40 words per minute
Proficient in proofreading, spelling, grammar punctuation and math
Part time position does not qualify for benefits. However Based on the quality and work performance, it will be up to the management to make this position a full time.
